This Privacy Policy describes how your personal information is collected, used, and shared when you visit GandALF 2026 (the “Site”).

THE INFOMATION WE COLLECT

The registration system for GandALF 2026 is operated by Leveark ApS on behalf of the conference organisers.

The personal data collected during registration (such as your name, affiliation, email address, billing information, and any dietary requirements you choose to provide) will be used solely for the purposes of:

• processing your conference registration and payment;
• communicating important information related to the conference;
• organising the conference and associated social events; and
• complying with applicable legal and accounting obligations.

Payments are processed securely through Stripe. Credit card information is handled directly and exclusively by Stripe and is never stored or processed by Leveark ApS or the conference organizers.

Your personal data will not be shared with third parties except where necessary to provide the registration and payment services described above, or where disclosure is required by applicable law.

Personal data will be retained only for as long as necessary for the purposes described above and, in any case, will be deleted no later than six months after the conclusion of the conference, except where a longer retention period is required by law (for example, for accounting or tax purposes).

The processing of your personal data is carried out in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR). Under the GDPR, you have the right to request access to your personal data, to request its correction or deletion where applicable, to object to or restrict certain processing activities, and to lodge a complaint with your national data protection authority if you believe your data has been processed unlawfully.

REGISTRATION CONDITIONS

By registering for GandALF 2026, you agree to the following conditions:

• Registration fees are non-refundable. No refunds will be issued in the event of cancellation or non-attendance.
• Registration may be transferred to another participant only with the prior approval of the conference organisers.
• At least one author of each accepted paper must register for the conference and present the paper. Papers that are not presented at the conference will not be included in the proceedings.

CHANGES

We may update this privacy policy from time to time for personal, operational, legal, or regulatory reasons.
